Campus Meeting Suggestions
The following suggestions offer possible sessions that focus on community engagement process and campus responsibilities for this area. The following steps could be followed to initiate a community strategy that involves the school’s athletics department.

First Presidential Discussion
Use written and video materials from the Division II community engagement Web site to discuss with the president or chancellor the potential of athletics being involved with the school’s community engagement process. The materials should tell the story and lay out the benefits to the university for integrating athletics into the campus community strategy.


Goals for your first presidential discussion:
    Determine the level of interest by the president or chancellor.
    See if there is already a “point person” for community based strategies on campus and ask if you can/should work with them. We believe this will work much better if there is an academic administration partner involved in the process throughout. It could even be the president or chancellor.
    Describe the Elements Check List (ECL) process and construction of the Community Engagement Team Directory (CETD) and get approval to do those two steps before a next meeting with the president or chancellor is scheduled.

Second Presidential Discussion
The goal of this meeting is to get buy-in and direction from the president.
    Report on the current status of community engagement using the ECL.
    Report on the development of the CETD—also highlight strengths and reprise areas lacking, as identified in the Elements Checklist (ECL).
    Ask the president or chancellor for guidance on the priorities for involving athletics in school community engagement and the members of the CET that might assist in activating the development process.

Campus Leaders’ Meeting Suggestions
The following steps offer suggestions of things to cover in meetings with campus leaders from the CET.
    Distribute materials on the story and goals of the Division II community engagement program in advance.
    Work with your president or chancellor or academic administration partner to anticipate challenges you might face in the first meeting.
    Tell the story of the need for community and the opportunity for the athletics department to play an important role for the campus.
    Discuss the ECL.
    Discuss the president’s/chancellor’s priorities.
    • Early learning strongly suggests the more involved the president or chancellor is with the community, the higher the likelihood this whole program will work.
    • Communicate. Get the word out to other campus leaders on your community activity.
    Coordinate. Make the full potential range of community engagement available to community members in a “one-stop shopping” fashion.
    Outline a plan for engaging community leaders in the process.
    Determine the membership of the community equivalent to the CETD. If at all possible, include your president or chancellor in that group.
    • Early learning strongly suggests the more involved the president or chancellor is with the community, the higher the likelihood this whole program will work.
    • A list of potential community leadership roles to consider will be included as a guideline in the tool kit.
    Discuss a process for studying community needs and desires for engagement from the community’s perspective.
    Discuss the range of potential community involvement and agree on limitation to access and opportunities (such as use of facilities and risk management issues).
